What is a program?

In one sentence
A program is a structured track — like "12-Week Nutrition Transformation" or "Executive Leadership Development" — that you move a client through in ordered phases, so every session has the right context for where that client is right now.
Why it exists
Most coaching engagements aren't one-off calls — they're journeys with stages. Week 1 looks different from week 8. A program lets you name those stages as phases, then enroll each client in the program and move them through the phases as they progress.
Two payoffs:
- You stay organized. You can see which clients are in which program and which phase, instead of keeping that in your head.
- Your AI assistance gets smarter. When a client is enrolled, Call-E uses the program and their current phase as context for every Call Notes, Call Guidance, or Scorecard it writes for that client. A nutrition client in the Foundation phase gets guidance focused on awareness and journaling; the same client in the Mastery phase gets guidance about consistency and accountability.
How enrollment works
A client can only be in one program at a time. If you enroll them in a new program, their old enrollment is automatically closed and the new one becomes current. Their past enrollment history is preserved — you can see the full timeline on the client's page.
To enroll someone:
- Open the client's page.
- In the Program card, click Enroll in program.
- Pick the program from the list.
- Pick the Starting phase (or leave the default — the first phase).
- Confirm.
To move a client to a different phase, use Change phase on the client's page. To switch them to a different program, use Change program. To end the enrollment entirely, use Unenroll — their appointment history is preserved.
You can also pause an enrollment when a client is on a break and resume it later.
For admins: creating programs and writing AI context
Creating and editing programs is an Owner or Admin task.
- Open Programs from the sidebar.
- Click New Program. A setup page opens — give it a name and description.
- Add phases in the order clients should move through them. Each phase has a name and a description.
- If you want Call-E's AI to use the program as context, fill in AI Program Context on the program and AI context on each phase. Example phase AI context: "Foundation phase. Focus on food awareness and journaling. Don't push for changes yet."
- Click Create Program.
Regular users can enroll clients and move them between phases, but only Owners and Admins can edit AI Program Context and phase AI context.
Archiving a program
When a program is no longer in use, archive it from the program's page. Archiving prevents new enrollments but keeps every current and past enrollment intact. You can restore the program later if you need to.
