Zoom recording settings

This feature is currently in preview and may not be available to you yet. Contact us if you'd like access.
What this is
A switch on the Zoom card called Automatically enable cloud recording and transcripts. When it's on, Call-E sets your Zoom account so every meeting cloud-records and produces a transcript by default — not just the meetings you schedule through Call-E.
Where to find it
- Click your profile in the sidebar and choose Preferences.
- Scroll to the Zoom card.
- The Recording settings section sits between Limitations (if any) and the Zoom history import area.
What happens when it's on
- Right after you connect Zoom — and any time you flip this switch on — Call-E turns on cloud recording at your Zoom account level, as long as your Zoom account supports cloud recording and your Zoom admin hasn't locked this setting. If it can't, Call-E tells you on the Zoom card.
- After that, every Zoom meeting on this account starts cloud-recording automatically, unless your Zoom admin later locks these settings. That includes meetings you start in the Zoom app and meetings booked outside Call-E. Zoom Scheduler bookings also sync to Call-E when your connected account includes Zoom Scheduler.
- When each meeting ends, Call-E downloads the recording and turns it into Call Notes and a transcript on the matching appointment.
The toggle is on by default.
How you know it saved
The Zoom card is the confirmation. When the setting saves, the Automatically enable cloud recording and transcripts switch stays in its new position and the card shows any recording-setting notice that still needs your attention.
Call-E does not send a separate success notification just because this setting saved. If your Zoom admin locks the spoken recording announcement, Call-E can email you about it. You can turn that email on or off in Choose your notification preferences.
What happens when it's off
- Call-E won't change your Zoom account defaults.
- For Zoom meetings held outside Live Call that start without cloud recording on, Call-E has no recording to download — so no transcript, Call Notes, or Call Scorecard for those meetings. You can still start a Microphone Recording in Live Call.
- Call-E still processes any meeting that was recorded; it just won't turn recording on for you.
Turn it off if you want to control your Zoom recording defaults yourself, or if your Zoom account is shared and the default needs to stay something else.
When the switch is disabled
If the switch is disabled, Call-E cannot turn on cloud recording for that Zoom account right now. The Zoom card explains why:
- Your Zoom plan doesn't support cloud recording. Keep the account connected to schedule and sync meetings. Use Live Call to capture them in Call-E, or choose a Zoom plan that supports cloud recording for future meetings held outside Call-E. Changing a recording setting alone cannot make cloud recording available on a plan that does not support it.
- Cloud recording is turned off in your Zoom settings. Click Open Zoom recording settings to turn it on. Call-E notices the change on its own within a few hours.
- Your Zoom recording settings are managed by your Zoom admin. Ask your Zoom admin to enable cloud recording for your account.
- Call-E can't confirm whether this Zoom account supports cloud recording. Check the Zoom card again later or contact support. Until Call-E can confirm cloud recording, meetings held outside Live Call may not produce a recording, transcript, Call Notes, or Call Scorecard in Call-E.
To use a different Zoom account, click Disconnect on the Zoom card, then click Connect Zoom. If the card says your connection expired, click Reconnect instead.
When you schedule an appointment, the same problems appear as Reconnect Zoom or Zoom recording may be unavailable. You can close either notice without reconnecting Zoom, changing recording settings, or confirming that you want to schedule without a recording. The notice stays hidden while you continue with the same condition; if the problem clears and later happens again, the notice returns.
On an existing appointment, recording problems appear as Cloud recording is not enabled or Call-E can't generate notes for this appointment. Closing the notice only hides the message; it does not click Enable cloud recording or change your Zoom settings. The notice returns if the recording problem clears and later happens again.
"Your Zoom recording settings are managed by your Zoom admin"
If you see this notice under the switch, your Zoom admin manages recording settings on your account. Call-E can't override that.
What to do:
- Ask your Zoom admin to enable cloud recording on your account, or to allow you to change that setting.
- Once cloud recording is available, Call-E checks again automatically within a few hours. If the card says your connection expired, click Reconnect.
"Couldn't update recording settings — Zoom declined to turn on automatic cloud recording"
This message appears when you turn on Automatically enable cloud recording and transcripts in Preferences.
If you see it, your Zoom plan is fine — Zoom declined to turn on automatic cloud recording for your account at that moment.
What to do:
- Check the Automatic recording setting in your Zoom account: go to zoom.us → Settings → Recording → Automatic recording. If a Zoom admin manages your account, ask them to turn it on.
- Try the switch again from Preferences.
- Recordings you start manually in Zoom still work — Call-E picks up the recording, transcript, and Call Notes afterward.
"Call-E couldn't turn on automatic cloud recording for this meeting"
This message appears when you turn on cloud recording for an appointment in Call-E.
If you see this message, your Zoom plan supports cloud recording — Zoom declined to turn on automatic recording for this specific meeting only. It doesn't mean your plan lacks cloud recording, and it doesn't affect your other meetings.
What to do:
- Start the recording manually from Zoom's toolbar when the meeting begins. Call-E still picks up the recording, transcript, and Call Notes afterward.
- Check the Automatic recording setting in your Zoom account: go to zoom.us → Settings → Recording → Automatic recording. If a Zoom admin manages your account, ask them to turn it on for you.
