Manage your billing and plan

What this does
Open Settings → Billing to see your plan, your usage for this period, and your payment status. If your organization pays through Call-E's self-serve billing, you can also upgrade, switch plans, update your card, or cancel.
Before you start
Only your organization's Owner can see and manage billing. If you don't see Billing under Settings, ask your Owner to make changes or to add you as one.
What's included in your plan
Every plan counts recorded calls — if one call reconnects and creates more than one recording, it still only counts once. Your limit scales with your number of active seats:
- Basic — 40 recorded calls per active seat each month ($59/mo per seat).
- Pro — 150 recorded calls per active seat each month ($129/mo per seat).
- Enterprise — 300 recorded calls per active seat each month, starting around $200 per seat — email us at support@call-e.io to set it up.
For example, an org with 3 active seats on Basic gets 120 recorded calls (3 × 40) each month. There's also a total recorded-minutes safety net well above the call limit, in case a small number of unusually long calls use up time faster than calls — this only ever pauses starting new recordings, never a call already in progress.
Your usage resets automatically each month, on the date your plan started. The Billing page shows exactly when: look for Resets followed by the date.
If Call-E sponsors your plan
The Billing page identifies your plan as Sponsored next to your active-seat count. A sponsored plan is paid for by Call-E, so your organization isn't billed directly. You still see the same plan, usage, limit status, and reset date as other organization owners.
Sponsored plans do not show self-serve payment controls. Email support@call-e.io for plan or billing changes.
Starting a paid plan
Your organization's first Basic or Pro subscription starts with a 14-day free trial. Stripe asks for a card up front, but you won't be charged until the trial ends.
If your organization's plan is currently sponsored by Call-E, this doesn't apply to you — sponsorship already covers your costs, so a trial isn't available on top of it. Your card is charged right away when you start a paid plan.
If your organization has subscribed before — even if you later canceled — you won't get a second trial. Your card is charged right away when you subscribe again.
During the trial, your call limit is a flat 10 recorded calls — not your plan's full per-seat limit. Your plan's regular limit starts once the trial ends and billing begins. If you use up the trial's 10 calls first, the Billing page shows Trial limit reached — click Upgrade to raise your limit right away.
Approaching or reaching your limit
The Billing page shows a badge and a banner as you use up your calls for the period:
- Approaching limit — "You've used 80% of the calls included in your plan this period — you're approaching your limit."
- Over limit — "You've used all the calls included in your plan this period."
- Protective stop — "You've reached your call limit for this period."
What happens next depends on whether pausing is turned on for your account yet:
- If it isn't yet, you'll see: "Recording will pause once this limit takes effect — for now, your calls continue to record normally."
- Once it is, you'll see: "Recording is paused until your next billing period or you upgrade."
Either way, click Upgrade on the banner (or Upgrade to Pro on the page) to raise your limit right away.
If you hit your trial's call limit
Your 14-day trial includes a flat 10 recorded calls total — not per seat, and much lower than either paid plan's monthly limit. It's common to reach this cap well before your 14 days are up.
When that happens, the Billing page shows the same Trial limit reached badge and banner it always has. Below that banner, you'll also see: "You've used your 10 trial calls. Choose a plan to continue."
From there, you get a genuine choice between two plans — neither one is picked for you:
- Basic — 40 recorded calls per active seat each month. Click Choose Basic.
- Pro — 150 recorded calls per active seat each month. Click Choose Pro.
Clicking either button doesn't send you to Stripe Checkout. Your trial ends immediately, and you're charged today for the plan you chose. Because your billing period is essentially starting fresh at that moment, the charge is usually close to the plan's full price, not a small prorated amount. You'll see a Plan updated confirmation and stay right on the Billing page — no redirect, just your updated plan and limits.
What happens to recording in the meantime depends on whether pausing is turned on for your account yet:
- If it isn't yet, you'll see: "Recording will pause once this limit takes effect — choose a plan now to keep recording without interruption."
- Once it is, you'll see: "Recording is paused until you choose a plan."
This plan choice only appears during your trial. If you're already on Basic or Pro and reach your limit, you'll see the single Upgrade to Pro button described above — Pro is the only upgrade available from Basic.
Upgrade, downgrade, or update payment details
- Click Manage billing. You're taken to Stripe's secure billing portal.
- From there, switch between Basic and Pro, update your card, or view invoices.
Switching from Basic to Pro takes effect immediately, with a prorated charge the same day. Switching from Pro to Basic takes effect at the start of your next billing period — you keep Pro's higher limit until then.
You can also click Upgrade to Pro directly on the Billing page for a one-click upgrade without opening the portal — it has the same effect as switching in the portal, and if you're still on your trial, it also ends the trial immediately and charges you for Pro today.
If a payment fails
If your last payment doesn't go through, you'll see "We couldn't process your payment — Your last payment didn't go through. Update your payment method to keep your subscription active." This banner appears at the top of every page, not just Billing.
Click Update payment method to fix it in Stripe's billing portal. A failed payment on its own doesn't stop you from recording — it's tracked separately from your usage limit.
Cancel your plan
- Click Cancel plan. You're taken straight into Stripe's cancellation flow.
- Confirm there.
Once canceled, the Billing page shows Plan canceled, with the message "Recording isn't available until you resubscribe." Click Resubscribe to start a new subscription.
Resubscribing doesn't include a new free trial — your organization already used its one trial, so Stripe charges your card right away.
If something goes wrong
- You see "Your plan was updated, but the latest billing status is still loading. Refresh this page to see it." Refresh the Billing page to see your latest plan.
- Checkout asks for a billing address you didn't expect. This is expected — Stripe needs it to calculate the correct tax for your location before you can start Basic or Pro.
- You don't see a Manage billing, Upgrade, or Cancel plan button. Your organization's plan is sponsored by Call-E or set up manually rather than self-serve. Email support@call-e.io for any billing changes.
- You don't see Billing under Settings at all. That page is only visible to your organization's Owner.
