Set up a dedicated Zoom app

What this does

The Dedicated Zoom app card on Settings → Calls always shows: "Call-E's Zoom app, installed in your organization's own Zoom account. Your Zoom admin manages it, and your team starts Zoom calls from Call-E." It's not needed for recording — recording and Call Notes already work without it, as soon as each person connects their Zoom account.

Once you set it up, Call-E can create and manage meetings and receive meeting events through your organization's own Zoom app, and your Zoom admin controls the app and its permissions.

Every step lives in the same card — you never leave Settings → Calls. Click Cancel to stop and return to the card's current status. While you're waiting on your Zoom admin, that button is called Cancel setup, because it also cancels the link you sent them. On the last step, once the app exists, it's Done.

Before you start

  • You need to be an organization Owner or Admin in Call-E to start this.
  • You'll need help from your organization's Zoom account owner — the person who can create things inside your Zoom account. If that's not you, Call-E can send them a link to finish the Zoom side themselves.
  • This usually takes about ten minutes of the Zoom account owner's time.

Steps

The card walks you through four numbered steps, labeled Step 1 of 4, Step 2 of 4, and so on.

  1. Step 1 of 4 · Who manages Zoom. Find the Dedicated Zoom app card and click Set up. Call-E asks: "Are you also your organization's Zoom admin?" Choose Yes, that's me and click Continue, or choose No, someone else manages Zoom and click Create link.
    • If you chose No and clicked Create link, the card shows "Share this setup link with your Zoom admin" along with the link to copy. Call-E doesn't send it anywhere — pass it on however you'd normally reach your Zoom admin. They don't need a Call-E account or login, and you can leave and come back anytime. Click New link to replace it with a fresh one (the old link stops working), or Cancel setup to call it off.
  2. Step 2 of 4 · Create the app in Zoom. Whoever is doing the Zoom side (you or your Zoom admin) signs in to the Zoom console as the account owner and creates a Server-to-Server app named "Call-E Setup", adds the two Marketplace permissions the page lists (marketplace:read:app:admin and marketplace:write:app:admin), then copies three values back into Call-E: Account ID, Client ID, and Client Secret. Click Continue. Call-E then creates its own app in your Zoom account automatically — you'll see a short spinner while it finishes.
  3. Step 3 of 4 · Copy one more value. Your Zoom admin opens the new app — its name starts with "Call-E Meeting Recorder" followed by a number, not "Call-E Setup" — goes to its Event Subscriptions page, and copies the Secret Token shown there. Paste that value back into Call-E as the Webhook Secret Token, then click Continue.
  4. Step 4 of 4 · Checking the app. Call-E runs a few automatic checks. At first the card shows: "Two checks passed. The rest run through your own Zoom account, so connect it with the new app once." Click Connect Zoom to finish those. Once you have, the card shows: "Zoom is connected. Finishing the checks, this takes under a minute." Click Done when you're finished — the app is already in your Zoom account, so nothing here undoes it.

If a check doesn't pass, the card shows "A check didn't pass" with "Ask your Zoom admin to confirm the app's permissions in the Zoom console, then run the check again."

If your organization already has a working Zoom setup and someone submits new values through this flow, the card shows: "Your Zoom admin sent setup values for a new Zoom app. Applying them replaces the current one, and everyone will need to reconnect their Zoom account." Click Apply to switch, or Keep current to leave things as they are.

What the card shows

Once an app exists, the Dedicated Zoom app card shows a Healthy or a Needs attention badge next to its title:

  • Healthy — an App credentials row appears on the card. Click Update there to replace your organization's Zoom values.
  • Needs attention — the card shows a message with the specific reason (for example, an updated permission) and an Update button to fix it. If Call-E lost its connection entirely, the message reads: "Call-E lost its connection to your dedicated Zoom app. Your team can still record Zoom calls, but they will start meetings in Zoom until this is fixed."

If Call-E can't confirm whether your app was created after submitting your Zoom values, the card shows Contact support instead of Update — don't try again on your own. Retrying could create a duplicate app in your Zoom account, so support needs to check first.

Either way, Remove app stays available at the bottom of the card. It asks you to confirm: "Remove the dedicated Zoom app? Your team goes back to the Call-E Meeting Recorder app from the Zoom App Marketplace, and everyone will need to reconnect their Zoom account. The app stays installed in your organization's Zoom account until your Zoom admin deletes it."

While the dedicated app is installed but switched off, the card shows "Your team uses the Call-E Meeting Recorder app" — the app name links to its Zoom App Marketplace listing.

After you set it up

Call-E now uses your organization's dedicated Zoom app for everyone on your team, controlled by your Zoom admin. If you connected Zoom before this setup finished, you may be asked to reconnect your Zoom account once — this is expected and takes a few seconds.
