Reassign a call to a different client
Last updated: September 30, 2026
In one sentence
If a recorded call ended up on the wrong client, you can move it — and its Call Notes — to the correct client right from the appointment page.
When you'd do this
A call gets linked to the wrong client when the auto-matcher guessed incorrectly, or when you manually linked the wrong person during or after the call. You usually catch it once Call Notes appear on a client's record that doesn't match.
Steps
- Open the appointment page for the call you want to move.
- Find the Client card near the top of the page. Click the ⋯ button on the right side of the card.
- Click Reassign to a different client.
- In the search box, type the correct client's name, phone number, or email. Your three most recent clients are listed first; to see everyone, click Browse all N clients at the bottom of the list, where N is how many clients you have. Click their name to select them.
- If the correct client isn't in Call-E yet, click + New client — it sits just beneath the search box — fill in their name — only the name is required; phone number and email are optional — then click Create. Call-E creates the client and selects them in one step.
- A confirmation dialog appears: Reassign this call to [Client Name]? Click Reassign to confirm.
The page refreshes and shows the correct client's name. No toast appears — the updated client card is your confirmation.
What happens after you reassign
- The call and its Call Notes move to the correct client's record.
- Client Memory updates for both clients. The client who was incorrectly linked has this call removed from their memory. The correct client gains it. Updates typically appear within a few minutes after the reassign.
- The incorrect client's Call Notes for this call are removed from their record.
This is reversible
Reassigning does not permanently delete anything. To move the call back, open the same appointment and use ⋯ → Reassign to a different client again. Both clients' Client Memory will update again automatically.
