Joining a meeting when no client is linked

When Call-E couldn't figure out which client a meeting is for, you can still join — and you can link the client right from the appointment page or from inside the meeting.
Why this happens
Call-E tries to match every Zoom meeting to a client automatically — usually by the email on the calendar invite. When the invite doesn't include the client (Zoom-app-scheduled meetings, generic topic, or a missed match), the appointment shows up without a linked client.
It's a common case, not an error. You don't need to cancel or reschedule.
What you'll see
On the Appointment page, when no client is linked, the Client card reads "This appointment isn't linked to a client" with a short explanation and a Link a client button.
In the meeting view (after you click Join Meeting):
- The meeting opens normally — no error.
- A caution-amber No client linked banner appears at the top with a typeahead picker.
Link a client from the appointment page
- Click Link a client on the Client card.
- Type the client's name or email. Matching clients appear as you type.
- Click the client to link them. The Client card updates to show the client's name and details.
If the client isn't in Call-E yet, click + New client inside the picker, fill in their name, email, and phone number, then click Save. The new client is created and linked in one step.
Link a client from inside the meeting
- Click Join Meeting on the appointment. The meeting view opens with the No client linked banner at the top.
- Click Pick a client to link in the banner.
- Search and click the client (or click + New client to add them inline).
The side panels — Past Appointments, Call Guidance, Client Memory — load with that client's information within a few seconds. You don't need to leave the call or reload.
Continue without a client
If you don't want to link anyone right now, click Continue without a client in the banner. The banner disappears and the call records normally. The appointment stays unlinked — you can link a client later from the appointment page.
What linking does
Linking attaches the client to the appointment itself, not just to the live call. After you link:
- The call recording and notes are filed under that client.
- Future visits to the appointment page show the client's name.
- The side panels keep showing that client's history for the rest of the call.
If you linked the wrong client, open the appointment after the call and reassign it to the correct client.
