What happens right after your call ends

In one sentence
Right after your call ends, the appointment page shows "Processing this call" while Call-E saves the recording, builds the transcript, and writes your notes — usually under a minute for a Microphone Recording and about 10 minutes for a Zoom call, and you don't have to wait on the page.
What you'll see while it's processing
Open an appointment that just ended and you'll see a full-page processing view. Under the title it says "Call Notes will be on this appointment.", or "Call Notes and the Call Scorecard will be on this appointment." if your call type has a Call Scorecard.
Under Coming up, the page lists what's being prepared: Transcript and Call Notes — plus Call Scorecard if your call type has one.
You don't need to stay on the page or refresh it — it updates on its own, and leaving the page loses nothing. Your results stay on the appointment for whenever you come back.
When everything is ready
The processing view switches to the call-details page. On a wide screen you can work across your Call Notes, the recording and transcript, and the Call Scorecard (when your call type has one) without leaving the page — the exact arrangement can vary by organization and screen size.
- Call Notes and the Call Scorecard each start with a short Summary. In Call Notes the sections below it are already open, so the full detail is right there; in the Call Scorecard the sections start collapsed — click a section to open it. If your call type doesn't score calls, Call-E simply says there's no Call Scorecard yet.
- Each group of sections with more than one section has its own Expand all / Collapse all control above it. A control opens or closes only its own group.
- Lines that show a timestamp are clickable — click one to jump to that moment in the recording. Lines without a timestamp aren't clickable; you can still read every word, just not jump from them.
- If your meeting ended and restarted — say a Zoom call that dropped and reconnected — the recording and transcript get one tab per session ("Session 1 · 3:45 PM"), so you can review each part on its own.
- Those session tabs switch only the recording and transcript. Your Call Notes and Call Scorecard don't move with them — they stay available whichever session you're viewing.
- On a wide screen, drag the dividers between areas to make one wider when the page shows them side by side.
- On a narrower screen the same page reshapes. On a phone, each part becomes its own tab near the top — Call Notes, Call Scorecard if your call type scores calls, and Call recording for the recording and transcript — so tap a tab to switch to that part. On a tablet the page simply stacks: notes first, then the recording and transcript, then the Call Scorecard if your call type scores calls.
Read the transcript in your language
If a call was transcribed in a different language than your organization's content language, a Translate button appears above the transcript. Click it to get a machine translation into your organization's content language.
- While it's working, the button shows Translating…. Stay on the page — you don't need to refresh.
- When your translation is ready, the transcript switches to it automatically, and a small dropdown appears next to the transcript with the two language names (for example, Español / English) so you can pick either one. Once translated, switching is instant.
- The translated view is labeled as a machine translation and may contain inaccuracies in text or speaker attribution.
- Speaker names stay exactly as they are — only what was said gets translated.
- Opening the transcript later — even one you already translated — always starts in the original language. Pick the translated language from the dropdown again if you want it.
Once someone translates a call, everyone on your team sees that translation right away — no one has to translate it twice.
If translation fails, you'll see a note in place of the translated text with a Retry button. The original transcript stays fully readable the whole time.
If you need to get back into the call
On a phone or tablet, tap the resume button in the bar at the bottom of the screen; on a larger screen it's in the header at the top of the page. If you recorded with Zoom it reads Resume Zoom call in Zoom, or Resume Zoom call in Call-E if your Zoom calls open inside Call-E. If you recorded with your microphone it reads Resume recording. Resume starts the next session of the same appointment, so use it if the call is still going or you ended it by accident.
A Microphone Recording can also get saved automatically, without you tapping anything — if Call-E stops receiving audio for about 5 minutes, it saves what it captured and starts preparing your notes. Resume works the same way afterward.
You have 30 minutes after Call-E saves the call to use it. After that it's no longer available to resume — the recording itself is safe, but you'll start a new recording or Zoom meeting instead.
If something couldn't be processed
If the page can't load your notes or scorecard at all, it shows a short error in that column with a Try again button — click it to try loading them again. It doesn't write them again; it just re-requests what Call-E already generated.
When a call couldn't be processed, the status line under the header says Call-E couldn't process this call (or No speech detected). The details appear once, in the part of the page they belong to — there's no banner at the top repeating them.
- Call recording shows problems with the recording or transcript: Recording couldn't be processed, Transcript could not be generated, or No speech detected. With several sessions, the message appears on that session's tab.
- Call Notes and Call Scorecard show a muted note when there's no transcript to work from: No Call Notes available for this call or No Call Scorecard available for this call. It says Call-E needs a transcript and points you to Call recording. Fix the problem there first.
- If Call Notes or the Call Scorecard themselves fail, you'll see Call Notes weren't generated or Call Scorecard wasn't generated with a Try again button. Click it to generate them again. The button shows only for people who can make changes to the appointment.
- If a newer version fails, you'll see Couldn't update Call Notes or Couldn't update the Call Scorecard. Your previous version stays as it was.
- If your Zoom connection expired, a notice at the top of the page says Reconnect Zoom to continue. Click Reconnect Zoom, reconnect in Preferences, and Call-E processes the appointment. See Reconnect Zoom after Call-E emails you.

If it's taking longer than expected
The page keeps updating on its own, so give it a bit more time. If nothing has changed after an hour, contact support from the appointment page with the appointment date and client name.
