Import your past Zoom meetings

What this does

Pulls your older Zoom meetings into Call-E in one go, so you can build out client history and get Call Notes from past recordings.

Before you start

  • Your Zoom account must be connected. If it isn't, connect it first — see Connect Zoom to Call-E.
  • After you connect Zoom, Call-E checks for meetings from the past six months. If it estimates that you have meetings to import, you'll see a suggestion on your dashboard. Click Import now to start, or Maybe later to dismiss the suggestion. Call-E won't remind you again, but you can always import from Preferences.
  • Only one import can run at a time on your account. If one's already in progress, wait for it to finish.
  • If your organization's billing isn't set up or its plan was canceled, you won't be able to scan or import Zoom history until then. Only your organization's Owner can fix that, under Settings → Billing (Start free trial, or Resubscribe if the plan was canceled). See Manage your billing and plan.

Steps

  1. Open Preferences. Click your profile in the sidebar and choose Preferences.
  2. Find the Zoom card. Under the History import section, you'll see how many older meetings Call-E can pull in — for example, "42 new meetings."
  3. Click Import Zoom History. A dialog opens.
  4. Pick a date range. Choose Last 7 days, Last 30 days, or Up to 6 months. Each option shows an estimated number of new meetings it would bring in — for example, "12 new meetings" — so you can pick the range that's worth importing. Six months is the farthest back Zoom lets Call-E go. The exact number Call-E imports can differ slightly, because it skips meetings you've already imported and meetings with no other participants; recurring meetings without a set time may also be omitted.
  5. Review what Call-E found. Scanning can take a few minutes for larger accounts — Call-E shows progress the whole time. Once it's done, you'll see which meetings it will import, which are already in Call-E (those get skipped), and which participants match your existing clients. If your date range has more meetings than Call-E processes in one pass, you'll see a note like "Showing your 200 most recent meetings (312 found in this range)." Call-E focuses on your most recent meetings first — you can start this import, then run another one anytime to bring in the older ones.
  6. Start the import. Click the confirm button. A progress bar appears and updates as meetings come in.

After it's done

  • The Zoom card shows a summary after an import adds appointments, such as "Last imported X meetings on [date]." If the latest import had problems, it says that it needs attention and shows how many meetings failed. A failed import may instead say "Latest import couldn't complete."
  • Imported meetings appear on your dashboard with their recordings, and Call Notes generate automatically.
  • Participants whose emails didn't match an existing client can be created as new clients during the import — the summary tells you how many.

If something goes wrong

  • Call-E says billing needs to be set up before scanning or importing. Only your organization's Owner can restore access under Settings → Billing: click Start free trial, or click Resubscribe if the plan was canceled. If you are not the Owner, ask them to finish that step, then try again. See Manage your billing and plan.
  • The Zoom card shows "Reconnect your Zoom account to load past appointments." Your Zoom connection has expired. Click Reconnect on the card, sign back in to Zoom, then come back and start your import.
  • "Call-E couldn't access your Zoom history." Your Zoom app may be missing permissions. Contact your Zoom admin or try disconnecting and reconnecting Zoom in Preferences.
  • "No Zoom meetings found in this date range. Try a different date range." Call-E didn't find any meetings with other attendees in the range you picked. Try a wider range or a different one.
  • The date ranges don't show a meeting count. Sometimes Call-E can't get an estimate from Zoom in time, so the ranges show their plain descriptions instead of a number. This isn't an error — pick a range and click Scan history, and Call-E will still find and import your meetings.
  • Import stuck or failed partway through. If the import dialog is still open, click Try again. Otherwise, open Preferences, find the Zoom card, and click Import more. Review or select a date range before starting again.
  • Need to run a different import while one is still going. Click Cancel import on the Zoom card. The import stops and the Zoom card updates; if Call-E cannot cancel it, you'll see an error.
