Record an in-person appointment
Last updated: September 30, 2026
What this does
Use your device's microphone to record an in-person appointment in Call-E. Open the appointment and choose Start recording to begin a Microphone Recording for it. See Start a Microphone Recording for the Call Guidance and Timeline panels you'll also see once recording starts.
Before you start
Turn on Do Not Disturb. Place your device face-up between you and your client.
Steps
- Open the appointment and click Start recording — it sits next to Create Zoom meeting or Join Zoom call, whichever the appointment shows.
- On Before you start recording, select I've informed my client that this appointment will be recorded. Do not lock the screen or switch apps.
- On that same panel, tap Start Recording. When your browser asks, allow microphone access.
- Wait for Recording and Backing up automatically. Keep this tab open and the screen unlocked while you talk.
- Tap Stop when the appointment ends. Keep this tab open until Recording saved, then tap Return to appointment.
If you tap Stop before 15 seconds in, Call-E asks first instead of saving right away. See If you stop before 15 seconds for what happens next.
If your recording approaches the two-hour limit, Call-E shows Recording stops soon with the message "Call-E stops recording after two hours." You can close this warning without stopping the recording. If the warning condition clears and later returns, the warning appears again.
If the tab was hidden or the screen locked
Return to the tab and keep it visible. Call-E shows Checking your recording….
- Recording — the check found nothing missing. Keep going as usual.
- Recording resumed or Recording restarted — continue recording. Some audio may be missing.
- Recording needs your attention — tap Resume recording or Try again, whichever appears.
- Recording was interrupted — tells you when Call-E last recorded audio; the Stop button counts down before Call-E stops the recording automatically. Tap Resume recording before it reaches zero. See If recording is interrupted for what happens if you don't get back in time.
- Call-E couldn't check the recording — check your connection, keep this tab open, then tap Try again.
- Stop — use this instead if you are ready to finish.
If someone cancels the appointment while you're away from the tab — from another tab, another device, or a calendar sync — you'll see Recording saved with a possible gap instead of Recording needs your attention when you return; there's nothing more to do.
If the final screen says Recording saved with a possible gap, Call-E saved everything it received. Some audio may be missing from the interruption. This result stays through a reload until you tap Return to appointment.
If Call-E is unsure whether recording started or finished saving, it shows a recovery notice such as Recording status needs checking or Recording still needs to finish saving. The notice says, "Check the recording status, then choose whether to finish or return to the appointment." Closing it only hides the notice; it does not check, finish, or return for you. If you leave this recording and open it again while recovery is still needed, the notice appears again.
If you never get back to this tab — you closed it, your phone stayed locked, or the connection never returned — Call-E waits about 5 minutes, then saves everything it received and starts preparing your transcript and Call Notes automatically. You can tap Resume recording for 30 minutes afterward — longer if the appointment's scheduled start was less than 3 hours ago — to keep recording the same call. See Resume a finished recording for details.
If Call-E can't use the microphone
If you see Call-E couldn't access the microphone, follow the message: "Allow microphone access in your browser settings, then try again." Tap Try again after you return.
