What happens when your call is recorded

In one sentence
After Call-E captures your call through Zoom Cloud Recording or Microphone Recording, it processes the recording and produces a transcript. When that transcript contains enough speech, Call-E also produces Call Notes — you don't have to do anything else.
For Zoom meetings, this only works when the connected Zoom account can cloud-record meetings. Zoom accounts where cloud recording is not available do not give Call-E a recording to process.

What you'll see on the appointment
Open the appointment and click the Call recording tab. That's where the recording and its transcript show up once they're ready. Press Play to listen in Call-E; when playback starts, the player shows a visual wave above the controls so you can jump to a specific moment more easily. While things are still being prepared, you'll see a message that Call-E is working on it — feel free to step away. Processing is usually under a minute for a Microphone Recording and about 10 minutes for a Zoom call. If it takes longer than usual, check the appointment again.
If Call-E can't finish processing a recording for an appointment that wasn't imported from your Zoom meeting history, you'll see a notification that it couldn't generate one or more appointment results. Click View to open the appointment and see what is available and what needs attention.
When a recording starts with silence, pressing Play starts near the first spoken words. You can still drag the timeline back to the beginning if you want to hear the full recording.
Zoom has to finish processing the recording on its side before Call-E can download it, which is why the time scales with call length.
Your transcript stays as close as possible to the language spoken in the audio, regardless of the Content Language your organization has chosen.

The two ways Call-E can record your call
Call-E captures a call two ways: Zoom Cloud Recording and Microphone Recording.
- Zoom Cloud Recording. For a Zoom meeting, this is the default: Zoom records the meeting to its own cloud, and Call-E downloads it automatically once the meeting ends. Turn cloud recording on in Zoom and you don't have to do anything else.
- Microphone Recording. Use this when Zoom can't capture the call — two people in a room, a speakerphone call, or a client meeting you on a platform Call-E doesn't connect to. Click Quick Recording — in the header on a computer or tablet, or under Go To on a phone — for a walk-in client, or Record Now on an appointment you already booked. Call-E uploads the audio when you end the session. See Start a Microphone Recording for the full steps.
However it's captured, Call-E processes the recording the same way afterward. The recording and transcript appear on the appointment page; when the transcript contains enough speech, Call Notes appear there too.
If part of Live Call cannot load, that area shows Call-E couldn't load this Live Call panel and explains that the rest of your call is unaffected. You can close the notice without stopping the recording or reloading the panel. If you leave Live Call and a panel fails again after you return, a new notice appears.
When Zoom recording is unavailable
If Call-E knows the connected Zoom account cannot cloud-record a meeting, it tells you before you schedule — for example, "Your Zoom plan doesn't support cloud recording" or "Cloud recording is turned off in your Zoom settings." That means Call-E will not produce a recording, transcript, Call Notes, or Call Scorecard for that Zoom meeting.
After the meeting ends, each output Call-E would normally produce shows "Zoom cloud recording wasn't available for this Zoom meeting, so Call-E couldn't produce this output" in its place on the appointment page.
You can still hold the Zoom meeting. To get recordings and transcripts for future Zoom meetings, use a Zoom account that supports cloud recording and make sure cloud recording is turned on.
If you see "A previous recording is still finalizing"
This message can appear when you try to start a new recording if the previous session didn't finish uploading — for example, the app was closed before the audio finished saving.
Tap Reset & retry in the message. Call-E clears the previous session and starts a fresh recording right away. If you'd rather wait, the previous session clears on its own after about 30 minutes; you can then start a new recording normally.
When there's no audible speech
If the recording did not contain detectable speech — for example, the microphone was muted or nobody spoke — the appointment header shows Call wasn't recorded, while the status bar below it shows No speech detected.
The Call recording section says No speech detected and lists the results Call-E could not create. Each AI section then explains its own result and points you to Call recording:
- Call Notes shows No Call Notes available for this call and No speech detected in the recording, so Call-E couldn't create Call Notes.
- Call Scorecard shows No Call Scorecard available for this call and No speech detected in the recording, so Call-E couldn't create a Call Scorecard.
Neither section offers a generate or retry action because another attempt cannot recover speech that was not captured. If you expected audio, check that the right microphone was selected and that cloud recording was on, then record the next call.
If you resumed a recording and nothing changed — the same Call Notes as before — the resumed recording had no detectable speech. Call-E tells you this on the appointment page: the status line reads that the resumed recording had no speech and your previous Call Notes are unchanged.
If the transcript never shows up
- Give it more time for longer calls. A 2-hour call can take longer than a typical call to process.
- Check cloud recording was on. For Zoom meetings, open the meeting in Zoom and confirm a cloud recording exists. If it doesn't, Call-E has nothing to work from.
- Check the appointment for a recording warning. If it says "Zoom cloud recording wasn't available for this Zoom meeting, so Call-E couldn't produce this output," Call-E already knows Zoom could not provide a cloud recording for that meeting.
- Still nothing after an hour? Contact support from the appointment page and include the appointment date and client name.
