Cancel an appointment

What this does
Removes the session from your schedule in Call-E. If the appointment has a Zoom meeting, the Zoom meeting is cancelled too.
Before you start
You can only cancel appointments that haven't ended yet — Scheduled or In progress. If the session is already Done, there's nothing to cancel.
Steps
- Open the appointment. Click it from Appointments or your dashboard.
- Click ⋯ on the Appointment card at the top of the page.
- Click Cancel appointment.
- Confirm. A dialog appears titled "Cancel Appointment?" with the message "Cancelling will remove this session from your schedule. You can reschedule from the Appointments page." Click Cancel Appointment again to confirm.
After it's done
The appointment's status changes to Cancelled and it stays visible in your Past Appointments tab for your reference. If a Zoom meeting was attached, it's cancelled in Zoom as well — your client's calendar invite will update.
When you open a cancelled appointment, you'll see the Appointment card and the Client card at the top, followed by a note that the appointment was cancelled. If it had a Zoom meeting, a small Open Zoom link appears — it opens the original Zoom meeting in a new browser tab.
You can't un-cancel. If you need the session back, schedule a new appointment.
If something goes wrong
- "Couldn't cancel appointment." Check your internet connection and try again. If it keeps failing, contact support.
- The Zoom meeting is still on your client's calendar. Zoom usually propagates the cancellation within a minute or two. If it doesn't, cancel the meeting directly from the Zoom app or website as a backup.
