Cancel an appointment

What this does

Removes the session from your schedule in Call-E. If the appointment has a Zoom meeting, the Zoom meeting is cancelled too.

Before you start

You can only cancel appointments that haven't ended yet — Scheduled or In progress. If the session is already Done, there's nothing to cancel.

Steps

  1. Open the appointment. Click it from Appointments or your dashboard.
  2. Click ⋯ on the Appointment card at the top of the page.
  3. Click Cancel appointment.
  4. Confirm. A dialog appears titled "Cancel Appointment?" Click Cancel Appointment to go ahead, or Keep Appointment to go back without cancelling.
    • If the appointment has a Zoom meeting: the message reads "Cancelling will remove this appointment from your schedule and cancel the Zoom meeting — attendees will be notified. You can schedule a new appointment from the Appointments page." The Cancel Appointment button appears in red.
    • If there's no Zoom meeting: the message reads "Cancelling will remove this appointment from your schedule. You can schedule a new appointment from the Appointments page."

After it's done

The appointment's status changes to Cancelled and it stays visible in your Past Appointments tab for your reference. If a Zoom meeting was attached, it's cancelled in Zoom as well — your client's calendar invite will update.

When you open a cancelled appointment, you'll see the Appointment card and the Client card at the top, followed by a note that the appointment was cancelled. If it had a Zoom meeting, a small Open Zoom link appears — it opens the original Zoom meeting in a new browser tab.

You can't un-cancel. If you need the session back, schedule a new appointment.

If something goes wrong

  • "Couldn't cancel appointment. Please try again." Check your internet connection. If it keeps failing, contact support.
  • The Zoom meeting is still on your client's calendar. Zoom usually propagates the cancellation within a minute or two. If it doesn't, cancel the meeting directly from the Zoom app or website as a backup.
