Bring your Zoom Phone calls into Call-E

What this does
Turns your Zoom Phone calls with clients into Call-E appointments, with Call Notes, a recording, and a transcript, like a Zoom meeting.
Before you start
- You need a Zoom Phone license on your Zoom user, and Zoom must be connected. See Connect Zoom to Call-E.
- Zoom records the calls, not Call-E. Without a Zoom recording, a call has no Call Notes.
- An Owner or Admin must turn the feature on first (see below).
Turn it on (Owners and Admins)
- Open Settings → Calls.
- Turn on Use Zoom Phone calls.
Phone calls use your organization's default call type until the coach picks another one.
Connect your Zoom Phone line (each member)
- Open Preferences and find the Zoom card.
- Click Reconnect and approve the new permissions in Zoom. You only do this once.
- Check the Zoom Phone section on the card. It shows your extension and direct number, whether call recording is on, and whether you can open your recordings.
If call recording is off in Zoom, Call-E turns it on once for your line. If your Zoom admin locked the setting, the section tells you and gives you steps to send them. Click Copy steps for your Zoom admin.
If the card says your Zoom user has no Zoom Phone license, there are no phone calls to bring into Call-E.
What happens on a call
- Incoming call: while it rings, a panel says Incoming call. Answer in Zoom. When you answer, Call-E creates an appointment and finds the client by the phone number saved on the client. The appointments list marks it Phone call. The appointment's header shows Zoom Phone.
- Outgoing call: nothing shows while it rings. The appointment appears when the other person answers.
- On other pages, a small card shows the live call. It has the date, the client or number, Zoom Phone, and the call timer. A red recording mark shows when automatic recording is on for the line. Use the card to open the appointment.
- On the appointment's page, the header shows the live call with its timer.
- In the panel, which shows while the call rings and after it ends, once the appointment has a named client, you see the client's name, and on larger screens the call type too. While the client still has only a number for a name, the panel shows the masked number.
- After a recorded call, Call Notes, the recording, and the transcript appear in a few minutes.
If the call is with a client you already planned
If you have an appointment with that client starting within 30 minutes, or already in progress, Call-E uses it instead of creating a new one. Call-E skips appointments that have a Zoom meeting.
If the number isn't a client's
When you answer a call from a number that no client has, Call-E creates a client for it straight away and links the appointment to that client. The client's name is the phone number until you change it, so open the client to add the name and other details. A later call from the same number uses the same client.
Call-E doesn't create a client when the caller's number is hidden, or when more than one client has that number. The appointment then shows Unknown client. Click Link client and pick the client, or choose New client, which opens with the caller's number filled in. Each client in the list shows their phone number, and you can search by name, phone number, or email.
What Call-E doesn't save
- Calls under 1 minute of talk time.
- Missed and declined calls.
- Calls between colleagues.
Remove a call that isn't a client call
Open the appointment's menu and choose Not a client call, then Remove. This works while the call is live, or before it has Call Notes or a Call Scorecard. If Call-E created a client for that call, it removes that client too, unless you already changed the client or the client has other appointments. The same happens to calls under 1 minute.
Import past phone calls
Open Preferences → Zoom → Import Zoom history. The import lists your past phone calls too, including calls marked No recording. Calls from known client numbers are pre-selected. Unknown numbers are not, and the import doesn't create clients. See Import your past Zoom meetings.
If something goes wrong

The appointment says the call wasn't recorded. The appointment gives the reason:
- Recording is off for this Zoom Phone line. Turn on call recording in the Zoom Phone section of your Zoom card.
- Recording failed in Zoom. Zoom didn't save the recording.
- Recording deleted in Zoom. Someone removed it in Zoom.
- Zoom does not let Call-E open this recording. Your Zoom admin must allow you to access your own recordings. Use Copy steps for your Zoom admin on the Zoom card.

Your Zoom admin turned off call recording. The Zoom Phone section shows which level was locked, for the whole account or only your user. Send your admin the copied steps.

The client's number was saved without a country code. Call-E matches it by the caller's country, and only when exactly one client fits. If no client fits, Call-E creates a new client named by the caller's number. If two or more clients fit, Call-E creates no client and the appointment shows Unknown client. If Call-E already made a new client for that number, fix it in three steps:
- Delete the new client named by the number. The appointment then shows Unknown client.
- On the appointment, click Link client and pick the right client.
- Add the country code to the right client's phone number so later calls match.
If no new client was made, just add the country code to the client's phone number so later calls match.

A client's call didn't show up. Check that Use Zoom Phone calls is on and that you reconnected Zoom.
